Description
Citizens Caring for Children is an Oklahoma City nonprofit organization that serves the needs of Oklahoma children living in foster care, the most vulnerable children in the state, by providing clothing, personal hygiene items, school supplies, holiday gifts, and other essential items to build a brighter tomorrow.
The Volunteer and Mobile Program Coordinator supports this mission by managing both the volunteer and the Mobile Foster Futures programs.
Citizens Caring for Children hosts individual and group volunteers of a wide range of ages year-round at our resource center and has two large volunteer events each year. The Volunteer and Mobile Program Coordinator is the primary point of contact for volunteers and is responsible for recruiting, scheduling, and supervising volunteers for all Citizens Caring for Children programs.
Citizens Caring for Children also has a mobile program that takes our resource center services to rural areas of the state. We are currently visiting five sites quarterly and are actively expanding the program. The Volunteer and Mobile Program Coordinator is responsible for Mobile Foster Futures client outreach, communication, and registration, as well as preparation for and execution of Mobile Foster Futures distributions throughout the state of Oklahoma.
The Volunteer and Mobile Program Coordinator also assists with inventory purchasing and processing and general support of all Citizens Caring for Children programs.
Responsibilities
- Recruiting and scheduling individual volunteers and volunteer groups to support all Citizens Caring for Children programs, including the Resource Center, Mobile Foster Futures, Back2School, Joy4Kids, and other events as needed.
- Managing the group volunteer experience by preparing projects, providing education and tours, training and supervising volunteers, and finalizing clean up when projects are completed, while ensuring that volunteers have a positive, meaningful, and safe experience.
- Responding to emails and phone calls from potential and existing volunteers promptly and professionally.
- Regularly communicating with volunteers about volunteer opportunities through email, and collaborating with the Director of Development and Communications on volunteer-related social media posts.
- Maintaining the cleanliness and order of volunteer work areas, supplies, and storage.
- Scheduling Mobile Foster Futures distributions, communicating with DHS and distribution site liaisons and clients, and managing the registration process.
- Creating Mobile Foster Futures client order cards, supervising the assembly of orders, adding clients to the client database, and tracking orders accurately through the inventory system.
- Assisting with purchasing and inventory processing for Mobile Foster Futures distributions and supporting purchasing and inventory processing for other programs.
- Traveling to and conducting regional Mobile Foster Futures distributions.
- Collaborating with the Director of Operations on the expansion of the Mobile Foster Futures program.
- Assisting in answering the phone, scheduling client appointments, and providing support for Resource Center client services as needed.
- Creating and updating relevant standard operating procedures.
- Following all procedures as assigned, added, or updated.
Requirements
- Excellent communication and customer service skills and ability to direct groups of all ages in a variety of tasks
- Strong time management and the ability to prioritize work and meet deadlines
- Ability to multitask to complete a wide variety of tasks and projects thoroughly and correctly
- Previous use of Microsoft Office Suite including Outlook, Word, and Excel, and ability to learn unfamiliar software platforms including databases, scheduling platforms, and inventory management systems
- Active driver’s license, clean driving record, and willingness to drive a cargo van on extended drives
- Physical demands involve standing for long periods of time, stooping, kneeling, crouching, climbing ladders, and carrying items up to 50lbs
- Occasional evening or weekend work necessary
