A Brief Overview
This role leads the Trauma Registry Analyst team and oversees the accurate collection, abstraction, coding, analysis, and reporting of clinical data for all trauma records that meet inclusion criteria. The supervisor ensures records are coded accurately using ICD-10 and AIS standards and that required data are organized, validated, and submitted to authorized end users and third-party registries.
This role supports the Level I Trauma Center's designations in Tennessee, Mississippi, and Arkansas; American College of Surgeons verification; and participation in the National Trauma Data Bank (NTDB) and Trauma Quality Improvement Program (TQIP) by ensuring timely submissions during each call-for-data period. The supervisor models behavior consistent with Regional One Health's vision statement.

What You Will Do
- Participate, in conjunction with the Trauma Registry Analyst, in directing and performing all functions related to maintaining the trauma registry database, including identifying trauma patients, collecting data from multiple electronic sources and medical records, and ensuring accurate data entry.
- Review medical records and charts as part of Inter-Rater Reliability (IRR) audits to accurately abstract and record registry data, ensuring compliance with established registry standards and guidelines.
- Maintain the accuracy of the trauma database through validation, hardware and software maintenance and upgrades, data dictionary changes, and regular backups.
- Protect and maintain the confidentiality of patient data within the registry. Release registry information only to authorized persons in accordance with departmental policies and HIPAA compliance policies and procedures.
- Ensure trauma registry analysts meet all data collection and submission requirements in accordance with state and National Trauma Data Bank standards and reporting guidelines.
- Direct daily workflow processes while continually assessing procedures for maximum efficiency.
- Lead the strategic planning and implementation of new or revised information technology, including import functions, interfacing tools, application systems, and automation for the trauma database.
- Supervise the day-to-day activities of assigned Trauma Registry staff, including participation in performance reviews in collaboration with the Trauma Program Manager.
- Confer and work collaboratively with medical and hospital staff, the HIM department, EMS services, referring facilities, and other external data sources in compliance with iRESPECT standards while promoting patient and customer satisfaction.
- Coordinate all trauma registry database responsibilities during a trauma center designation or verification visit, including participation in PRQ preparation, chart selection, and chart preparation.
- Function as a regional, state, and national resource in trauma database management and participate in collaborative state projects. Maintain required annual CEUs for certifications as required by the ACS and/or states, and maintain records of required CEUs for Trauma Registry staff.
- Supervise adherence to hospital policies, procedures, and standards through observation, medical record review, staff feedback, and other appropriate sources.
Requirements
Qualifications
- Undergraduate degree in Health Information Management, Computer Science with healthcare experience, Nursing, or a related field required.
- Completion of an approved eight-hour Trauma Registry course required.
- Current training in the most recent version of AAAM's AIS course required.
- Current ICD-10 course or refresher completed within the past five years required.
- Certified Specialist in Trauma Registries (CSTR) through ATS required within one year.
- Certified Abbreviated Injury Scale Specialist (CAISS) through AAAM required within 18 months.
- Registered Health Information Technician (RHIT) upon hire preferred.
- Minimum of three years of experience in trauma database coding and abstraction using DI, V7 Collector, ImageTrend, or a comparable system required.
- Previous research experience preferred.
- Report-writing experience with DI Report Writer or ImageTrend preferred.
