Position Description
This role provides the administrative coordination and organizational support that helps Tulsa Regional STEM Alliance (TRSA) operate effectively and enables staff across the organization to focus on their highest-value work. Working across TRSA’s communications, impact, research, partnerships, development, and leadership functions, this position helps information move, commitments stay organized, and routine administrative work happen reliably.
This position serves as a central point of administrative support for a small, fast-moving organization. Responsibilities include executive and leadership support, communications administration, program and impact support, research coordination, partnership support, fundraising administration, and organizational communications. The Operations Coordinator works with staff across the organization to anticipate needs, coordinate details, maintain accurate information, and create systems that make it easier for others to do their work.
This is a role with significant breadth. Rather than specializing in one functional area, the Operations Coordinator gains a broad understanding of how a nonprofit organization operates and how different teams contribute to TRSA’s mission. The position is well suited for someone who is highly organized, detail-oriented, resourceful, responsive, and energized by helping others succeed.
HYBRID OPTION: Includes one virtual day of remote work per week.

Salary Grade: Grade 2 - Coordinator I
Salary Grade Range: $40,000 – $45,000
Location: Tulsa, OK; Hybrid (1 day/week)

Requirements
Position Responsibilities
Examples of responsibilities include but are not limited to:
- Meeting and calendar coordination — Coordinate meetings across the organization, from the Executive Director's calendar and Board of Directors sessions to leadership meetings, program convenings, partner and donor meetings, and committees.
- First point of contact — Support TRSA's general inbox, phone, and mail.
- Information and records — Maintain accurate, organized, and accessible information in TRSA's systems and files across every function: participants, programs, partners, donors, sponsors, vendors, and governance including data entry, list management, and the routine reporting teams use to track participation, relationships, outcomes, and giving.
- Correspondence and follow-up — Support routine communications, including participant and partner follow-up, gift acknowledgments, invitations, confirmations, and stewardship touches.
- Event and logistics coordination — Coordinate logistics for organizational events, including internal events, program activities, convenings, and fundraising events.
- Communications production support — Help recurring communications go out on time, including formatting and scheduling newsletters, preparing social posts from provided content, proofreading, maintaining distribution lists, and tracking what has been sent.
- Purchasing and administrative processes — Support purchasing, expense processing, vendors, travel, and other routine administrative processes on behalf of all teams.
- Cross-team coordination — Anticipate needs, surface scheduling and priority conflicts early, and ensure commitments and follow-up do not get lost as work moves between functions.
- Confidentiality — Handle confidential organizational, personnel, financial, donor, and governance information with consistent discretion and sound judgment.
- Systems and continuity — Document recurring processes, identify opportunities to improve how workflows between teams, and help build the administrative systems that let TRSA operate well as it grows.

Required Qualifications
Education & Experience
- Associate degree, bachelor’s degree, or equivalent combination of education, experience, and training.
- Experience providing administrative, organizational, nonprofit, executive, or program support.
Skills & Competencies
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Able to produce accurate written work and data entry quickly and at volume, with strong proofreading habits.
- Excellent follow-through and ability to manage multiple priorities simultaneously.
- Ability to anticipate needs, identify potential problems, and take appropriate action.
- Strong interpersonal skills and ability to work effectively with staff, board members, volunteers, donors, partners, and community members.
- Proficiency with common office productivity tools, calendars, spreadsheets, shared file systems, and digital communication platforms.
- Ability to learn and effectively use organizational technology.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
- Resourceful and adaptable, with the ability to work effectively in a small organization where priorities may evolve quickly.
- Demonstrated commitment to equity, diversity, inclusion, and creating spaces of belonging.
- Professional demeanor and ability to represent TRSA appropriately in internal and external settings.
Other Requirements
- Ability to occasionally work outside regular business hours to support meetings, events, or organizational activities.
- Valid driver’s license and reliable transportation may be required for occasional organizational activities.
Preferred Qualifications
- Experience working in a fast-paced environment with multiple priorities and deadlines.
- Experience with a donor database, CRM, or comparable system of record.
- Experience supporting a board, committee, or volunteer group.
Compensation
- The annual salary range for Operations Coordinator is set at Grade 2 - Coordinator I ($40,000-$45,000), with flexibility beyond the ceiling as a result of cost of living increases and raises.
- The benefits package includes health, dental, vision, and life insurance, 50% 401(k) matching (up to 3% total), 160 hours of annual Paid Time Off, and 14 paid holidays.
