ROLE DESCRIPTION & RESPONSIBILITIES
GENERAL DESCRIPTION:
The Marketing Coordinator supports execution of marketing initiatives, proposal development, community brand awareness, and sales enablement activities that drive pipeline growth. This role is responsible for maintaining marketing collateral, updating graphics and presentation materials, supporting bid tracking and reporting, and ensuring brand consistency across all touchpoints. The position also serves as a proactive advocate for AI-enabled tools and process improvements, while staying abreast of industry developments, AEC market trends, and emerging opportunities that strengthen McCoy Rockford's visibility and competitive positioning.
DUTIES AND RESPONSIBILITIES:
Operational / Process Responsibilities
- Execute marketing campaigns, content updates, and community awareness initiatives that support pipeline growth and brand visibility
- Maintain marketing collateral, bid trackers, proposal resources, and reporting tools
- Support digital and print bid deliverables, ensuring timely, polished, and accurate submissions
Reporting Support
- Track campaign performance, pipeline activity, proposal reporting, and ROI metrics
- Maintain dashboards, bid trackers, and leadership reports to support sales visibility
Audit and Compliance
- Ensure brand consistency, excellent grammar, and presentation-quality standards across all materials
- Review content for formatting, proofing, and alignment with company standards
Systems / Process Improvements
- Improve workflows, tracking tools, and proposal support processes
- Champion AI tools and emerging technologies that improve efficiency and content quality
Marketing Execution
- Manage website, social media, newsletters, PR content, and collateral updates
- Update graphics, presentation decks, branded templates, and digital/print materials
Sales Enablement
- Support RFPs, proposals, bid responses, and sales collateral development
- Maintain proposal templates, sales resources, and document repositories
- Support AEC proposal workflows and submission timelines
Strategic Market Awareness
- Stay abreast of industry, AEC, and emerging market trends to strengthen messaging and proposal strategy
Event & Coordination Support
- Coordinate events, sponsorships, conferences, and community engagement opportunities
- Support logistics, travel coordination, and branded materials preparation

Success in this role is demonstrated through the consistent delivery of polished marketing materials, accurate bid and reporting support, and timely proposal submissions that strengthen sales efforts and brand visibility. The Marketing Coordinator effectively supports community awareness initiatives, maintains high presentation and grammar standards, stays ahead of industry and AEC trends, and proactively leverages AI and process improvements to increase efficiency, quality, and cross-functional collaboration.
KEY SELECTION & SUCCESS FACTORS
WORK EXPERIENCE:
- 2+ years of experience in marketing, communications, design coordination, or related field
- Experience supporting proposals, bid tracking, sales enablement, or campaign execution preferred
- Prior experience in the AEC, commercial interiors, architecture, engineering, construction, furniture, or workplace solutions industry strongly preferred
- Experience updating graphics, presentation materials, and branded visual assets preferred
- Experience working in a fast-paced, deadline-driven, proposal-oriented environment preferred
- Exposure to AI-enabled content creation, workflow optimization, or marketing tools preferred
EDUCATION REQUIREMENTS:
- Bachelor's degree in Marketing, Design, Business, Communications, or related field preferred
- Equivalent work experience may be considered
PREFERRED QUALIFICATIONS:
- Strong written and verbal communication skills with excellent grammar and presentation development abilities
- Experience with digital marketing tools, content management, social media, and analytics
- Strong proficiency in Microsoft Office, especially PowerPoint, Word, and Excel
- Experience with Adobe Creative Suite and updating graphics for branded materials
- Familiarity with digital and print production for bids, collateral, and proposals
- AEC proposal, bid tracking, or sales support experience strongly preferred
- Exposure to AI tools, automation, or AI-supported content creation workflows
- Strong organizational, project coordination, and deadline management skills
- High attention to detail, quality, and brand consistency
- Ability to work cross-functionally in a fast-paced, deadline-driven environment
