- Event Coordinator (Contract Position)
Description
The Kentucky Diabetes Network (KDN) is seeking a highly organized and detail-oriented Event Coordinator to support the planning, promotion, and execution of the 2026 Annual Diabetes Symposium. This is a fully remote, contract-based role that will play a critical part in ensuring a seamless, engaging, and impactful event experience. The Event Coordinator will report to the Executive Director and work closely with the Operations Director, KDN leadership, and the Symposium Planning Committee. The contract period for this position is May - November 2026 and is ideally suited for a graduate student or early career professional.
Key Responsibilities
Project & Timeline Management
- Track and coordinate planning timelines and task lists
- Ensure all deadlines are met and stakeholders remain on schedule
- Maintain organized documentation and project workflows
Event Logistics Coordination
- Coordinate event logistics including venue coordination, food and beverage vendors, and on-site contacts
- Assist with day-of execution planning and run-of-show development
- Serve as a key point of contact leading up to and during the event
Speaker & Partner Support
- Coordinate speaker communications, including outreach, confirmations, logistics, and presentation needs
- Support communication and coordination with sponsors, exhibitors, and vendors
- Assist with fulfillment of sponsorship benefits and exhibitor logistics
Continuing Education Support
- Assist in preparation and submission of continuing education (CE) approval materials
- Coordinate documentation and compliance requirements
Marketing & Communications Support
- Assist with website updates and content related to the symposium
- Support social media content creation and promotional efforts
Collaboration & Meetings
- Participate in regular meetings with the Symposium Planning Committee and KDN leadership
- Provide timely updates and progress reports
Time Commitment
- Estimated 2–5 hours per week on average
- Increased time commitment expected in the fall leading up to the event
Required Qualifications
- Strong organizational and project management skills
- Excellent written and verbal communication skills
- Ability to work quickly and accurately in high-demand, fast-paced situations
- Ability to manage multiple priorities and meet deadlines independently
- Familiarity with virtual collaboration tools and basic website/social media platforms
- Experience coordinating events, meetings, conferences, and/or continuing education (CE) opportunities is a plus
Additional Requirements
- Availability to attend regular virtual meetings
- Required in-person attendance for the symposium in Louisville, KY on November 12-13, 2026
Compensation
This is a contract position with a flat-rate one-time stipend payment of $4,500 for the entire contract period.
Course Credit
This position may be structured as a paid internship or practicum experience for a graduate student, if desired. KDN will work with the graduate department to ensure all the academic requirements are met to qualify for course credit.
