Position Description:
The department of University Housing and the Resident Experience (UHRE) in the Division of Student Affairs is seeking to hire a Department Coordinator IV. The Department Coordinator is responsible for providing front desk reception and general office support for the department. The Department Coordinator serves as the first line of communication by answering the department's primary phone line, greeting in-person visitors, and addressing calls, concerns, and inquiries.
Essential Duties and Responsibilities
- Analyzes distinctive attributes of each residential hall and community (traditional/suite/apartment) to effectively communicate their unique features
- Utilizes StarRez extensively to promptly address inquiries from resident applicants and current residents, ensuring clear and concise communication
- Provides administrative support to the UHRE team while emphasizing streamlined communication practices
- Arranges and coordinates tours for residents, prospective residents, and parents, employing adept communication skills to showcase housing options
- Directs residents toward a comprehensive understanding of resident policies and procedures
- Executes specialized tasks as assigned, such as managing phone inquiries related to property and providing support to others based on their requirements
- Answers UHRE's primary phone line dedicated to providing callers with accurate and prompt information through effective communication techniques
- Supervises the staffing and operation of the department's front desk, ensuring seamless communication and service delivery
- Provides excellent customer service to residents, prospective residents, and parents
- Acts as a liaison for all visitation days, guaranteeing staff participation and efficient coordination of communication
- Oversees the access and refurbishment of campus tour rooms, including managing their aesthetics and liaising within the department and with internal/external tour groups
- Conducts training for staff within and beyond the department on conducting tours and emphasizing effective communication strategies
- Facilitates the training and schedule management of the student worker desk staff, nurturing their communication skills and ensuring operational efficiency
- Contributes to the development of training materials and leads meetings to keep students workers informed about processes through effective communication channels
- Serves as a point of contact for student, staff, and parent queries and concerns about housing, employing timely communication via telephone, in-person response, and email
- Maintains student worker staff manual, ensuring content is current. Provides timely updates to student worker staff so they are able to perform their job duties correctly and effectively
- Maintains current reference documents for student staff, enabling them to access relevant information seamlessly
- Designs and upholds student worker schedules, facilitating efficient communication of responsibilities and shift coverage
Preferred Qualifications
- Excellent verbal and written communication skills
- Service-minded approach and demonstrated experience providing assistance and service support to customers in-person, on the phone, and online
Work Hours and Location
This is a full-time, non-exempt position with a 37.5-hour regular workweek. Additional work hours may be required based on department needs, programming, staffing, and/or scheduling. The primary work location for this position is at the Belknap Campus.
