The Oregon Symphony seeks a detail-oriented and resourceful Artistic Planning Coordinator to help create exceptional experiences for the guest artists, conductors, and composers who bring our performances to life. This role serves as a key point of connection between visiting artists and the Symphony, coordinating the logistics, communication, and support that allow artistic guests to focus on delivering extraordinary performances. Working closely with colleagues across Artistic Planning, Operations, and other departments, the Coordinator helps ensure every artist engagement is seamless, welcoming, and reflective of the Symphony's commitment to artistic excellence.
Key Responsibilities:
Artist Experience & Hospitality:
Serve as a primary point of contact for guest artists, conductors, composers, and managers, coordinating travel, accommodations, transportation, hospitality, itineraries, backstage access, and other services that ensure a welcoming and seamless experience from arrival through performance.
Artist & Performance Support:
Work directly with guest artists and production teams during rehearsals, concerts, and special events, helping resolve needs in real time and ensuring artists feel supported both on and off stage.
Artistic Planning Administration:
Maintain artist, repertoire, and programming information in planning systems; assist with research, scheduling, meeting preparation, and other administrative functions that keep the Artistic Planning department organized and effective.
Cross-Department Collaboration:
Partner with colleagues across Artistic Planning, Operations, Marketing, Development, and Production to ensure artist-related information, schedules, and logistics are communicated accurately and coordinated effectively.
Relationship Management & Service Excellence:
Build positive relationships with artists, managers, agents, and industry partners while delivering thoughtful, responsive service that reflects the Oregon Symphony's values and reputation.

This is a full-time, non-exempt position based primarily onsite due to the nature of artist services and performance support responsibilities. Regular evening and weekend work is required in alignment with the Symphony's rehearsal and performance schedule.

Requirements
Qualifications:
- Bachelor's degree preferred, with 1-2 years of relevant experience, or an equivalent combination of education and experience.
- Strong organizational skills and exceptional attention to detail.
- Interest in and familiarity with classical music, orchestral repertoire, or the performing arts industry.
- Proficiency with Microsoft Office; experience with OPAS or similar planning systems preferred.
- Excellent communication and interpersonal skills.
- Ability to manage multiple priorities and remain flexible in a fast-paced, deadline-driven environment.
- Availability to work evenings and weekends in support of rehearsals, concerts, and special events.
