Description
Position Summary: The ReMerge Operations Coordinator oversees building maintenance, safety compliance, vendor coordination, supply management, information systems, and operational support for the organization. The Operations Coordinator manages routine and preventative maintenance needs, ensures the building and grounds remain safe and welcoming, and serves as the primary point of contact for all onsite service providers, security personnel, and IT vendors. The ideal candidate is highly organized, detailoriented, proactive, and takes satisfaction in crossing things off of a to-do list, with strong communication skills and the ability to handle sensitive situations with discretion and sound judgment. This role requires the ability to manage multiple priorities, solve operational problems quickly, maintain positive vendor relationships, and ensure that ReMerge’s facilities, equipment, and systems support a safe and effective environment for staff and participants.

Essential Functions:
Facilities & Property Operations: Coordinate day-to-day facility operations, including maintenance, repairs, inspections, safety, appearance, supply restock, equipment upkeep, and vendor oversight; serve as primary point of contact for on-site vendors, building security, and contracted service providers.
Contracts, Procurement & Asset Management: Manage bidding and coordination of facilities, insurance, supply, IT, and service contracts for leadership review; oversee ordering and inventory of office, building, and operational supplies; manage vehicle fleet and transportation needs.
Security, Systems & Infrastructure: Oversee building security, phone, camera, and access systems; coordinate IT operations and vendor contracts to ensure reliable hardware, software, and information systems.
Scheduling & Operational Coordination: Maintain building, vehicle, and maintenance calendars for repairs, inspections, and events; ensure all operational activities are documented and communicated appropriately.
Human Resources & Administrative Support: Support hiring processes by managing job posting setup and coordinating employee onboarding schedules; ensure completion of onboarding documentation, workspace and equipment setup, system access, and building orientation in collaboration with leadership.
Information & File Management: Organize and support staff use of the organization’s SharePoint/file management system to maintain accessible and well-structured records.
Other Duties: Perform additional operational and administrative responsibilities as assigned in support of organizational needs.
Requirements
Knowledge, Skills and Abilities Required:
- Knowledge of basic building safety standards and compliance requirements.
- Strong attention to detail in tracking tasks and building needs.
- Ability to create and follow checklists, schedules, and procedures.
- Documentation of incidents, repairs, supply usage, and facility needs.
- Time management to balance daily responsibilities and unexpected issues.
- Collaboration with internal teams to maintain smooth daily operations.
- Ability to troubleshoot facility issues and propose practical solutions.
- Judgement to escalate problems appropriately.
- Resourcefulness in emergency or timesensitive situations.
- Ability to perform light physical tasks (moving supplies, lifting boxes, organizing storage)
- Clear and professional communication with staff, vendors, and leadership.
- Ability to develop mutually respectful and beneficial relationships with vendors and other partners who make our work possible.
Education and Experience Required:
- Associates Degree from an accredited college or university is preferred.
- A minimum of one year of operational experience.
