MyOutDesk is seeking a Department Admin / Project Coordinator Assistant to be the backbone of our U.S. State Projects department. We need a "can-do" professional who is ready to take action on any task-from the essential daily routine of monitoring high-volume Outlook threads and filing records, to the complex responsibility of capturing meeting summaries with U.S. government agencies and municipalities. You will work directly with consultants and department managers, acting as a proactive extension of their team to ensure no ball is dropped. Key Responsibilities
Communication Ownership: Manage a high volume of email correspondence, ensuring messages are filed correctly and the right internal stakeholders are always in the loop.
Meeting Mastery: Attend conference calls with U.S. partners and agencies, converting fast-paced conversations into structured meeting summaries and action items.
Project Tracking: Move seamlessly from basic data entry to maintaining complex "Open Items" trackers and project checklists.
Stakeholder Liaison: Draft and send professional follow-ups and information requests to utility providers and government agencies in flawless English.
Process Support: Assist in building repeatable templates, trackers, and SOPs to help the department scale.
Versatile Support: Support multiple people and dozens of projects at once, shifting priorities quickly without missing deadlines.
Requirements
- 3+ years of professional experience in administrative support or project coordination.
- U.S. Ecosystem Exposure: Mandatory experience working directly with U.S. or Canadian companies and stakeholders.
- Language: C1/C2 Fluent English (required for live conference calls).
- Education: Bachelor's degree in Business, Communications, or a related field.
- Technical Agility: Mastery of Microsoft 365 (Outlook, Teams, Excel, OneDrive/SharePoint).
