Payroll Coordinator

POSITION SUMMARY
As a member of the District’s Payroll team, your core responsibility is to manage and process District payroll while providing transparency to our staff to better serve those who serve our students. This position supports the Lead Payroll Coordinator in all payroll functions, analyses, controls, policies, and procedures throughout the District. The Payroll Coordinator collaborates regularly with members of all departments/buildings in the District, as well as outside groups and stakeholders. The Payroll Coordinator is a member of the Financial Services Department and reports to the Lead Payroll Coordinator and the Chief Financial Officer.
DUTIES AND RESPONSIBILITIES
Payroll Functions
Direct, prepare, and submit monthly payroll which includes leave slips, time cards, services rendered, contract and benefit additions and changes and retirement information.
Reconcile all payroll taxes and deductions following payroll to ensure correct monies are disbursed. This includes annuities, credit unions, support enforcement, bankruptcy, union dues, federal deposits and retirement, or leave sharing.
Develop, implement, and maintain a system of internal controls for all payroll functions.
Adhere to contract language, board policies and employment regulations for the purpose of ensuring compliance with district, local, state and federal requirements.
Prepare Unemployment, Labor & Industries, IRS 941 and Health Care Authority reports as needed.
Prepare annual W-2's, 1095’s, and other employee tax-related information.
Calculate and process various payments such as sick leave buy-back and unclaimed property.
Calculate and load vacation and sick leave for employees.
Manage leave processes, including worker’s compensation and leave sharing.
Collaborate with departments on time keeping set-up and maintenance.
Manage Department of Retirement systems, enrollment, reporting process and reconciliation.
May be required to work evenings and weekends to meet deadlines.
Interpersonal Functions
Work cooperatively with buildings and departments to assist the district in achieving its building, department, and district-wide strategic initiatives.
Answer all questions and concerns regarding payroll. This includes but is not limited to: employee pay, benefits, contracts, leaves, or employment verifications.
Notify stakeholders of important changes to payroll laws and processes.
Prepare and distribute payroll information to new hires.
Cross-train with other team members and departments as needed.
Work closely with Human Resources on employee issues.
Maintain confidentiality with sensitive information.
Assist other personnel, with related tasks, as may be required for the purpose of supporting them in the completion of their work activities and for the enhancement of daily operations of the school district.
Present a strong central office public relations image to staff and patrons.
QUALIFICATIONS
High school diploma or equivalent required. BA in accounting preferred.
Minimum of three years payroll experience is preferred.
Experience working in Skyward and/or Qmlativ is preferred.
Assist with problem solving and developing alternative strategies.
Ability to work well under pressure and to meet deadlines.
Ability to work effectively both independently and as a member of a team.
Ability to organize, set priorities, plan, and coordinate work in a fast-paced and changing environment.
Ability to establish and maintain effective, respectful, and courteous professional working relationships with a variety of people.
Strong attention to detail and analytical skills.
Extensive knowledge of the laws and regulations relating to payroll and internal auditing principals, techniques, and procedures.
Ability to collect, analyze, and interpret data: ability to detect errors and verify data: ability to exercise independent judgment; and ability to make well-founded recommendations.
Knowledge of Microsoft Excel with the ability to and create complex formulas and manage large datasets.
Communicate effectively with staff and the general public through strong written and oral communication skills.
