Job Description
You will be responsible for overseeing the general administrative functions. Your duties will include assisting the in-house attorneys with all organizational tasks by ensuring a high level of organizational efficiency, communication, record keeping and coordination between all departments.
Responsibilities:
As part of the legal team, you will strongly support the legal department organizationally.
- Administrative support for the internal legal department
- Participation in the preparation of project coordination plans with timelines for the legal department and timely collection of stakeholder reports on this specific project
- Organization of the daily office routine, in particular completion of general office tasks (filing, noting and reminding of deadlines, correspondence)
- Receiving, forwarding and responding to phone, fax, email and Jira ticket requests
- Processing incoming and outgoing emails via the legal department's email address
- Filing and managing documents
- Maintaining accurate records and documentation
- Communicating and working closely with outside counsel (independently forwarding tasks)
- Formatting contracts and other documents
Requirements:
- Successfully completed commercial training and professional experience as a team assistant/office manager
- Excellent written and spoken German and English, knowledge of Russian is an advantage
- Very good knowledge of MS Office and all Google tools
- Knowledge of Jira is an advantage
- Independent and structured way of working
- Professional manners, friendly and engaging demeanor
- Organizational talent, careful and structured way of working
- High level of reliability and a responsible, independent way of working
