GENERAL POSITION SUMMARY
The Grants & Impact Coordinator is a key member of the advancement team managing the entire lifecycle of all grants as well as impact data and reporting. The Coordinator will also maintain the CRM donor database while providing support for the Community Engagement Manager and Chief Advancement Officer.
RESPONSIBILITIES
Grant Development & Compliance (50%)
1. Research, track, and manage institutional and foundation funding opportunities aligned with CASA’s mission and strategic priorities
2. Coordinate the full grant lifecycle, including proposal development, submission, compliance tracking, and reporting
3. Draft, compile, and submit grant applications, letters of inquiry (LOIs), budgets, and required reports
4. Maintain grant calendars, deadlines, deliverables, and reporting schedules to ensure compliance and timely submission
5. Collaborate with program, finance, and advancement staff to gather outcomes, financial data, and narratives
6. Maintain accurate grant documentation, funding restrictions, reporting requirements, and historical records within the CRM
CRM Donor Database Management (25%)
1. Serve as the primary administrator for CASA’s donor CRM, ensuring data accuracy, consistency, and integrity
2. Manage donor, grant, pledge, in-kind, and institutional gift records, including proper coding and attribution
3. Process donations and ensure timely acknowledgments, tax receipts, and donor communications
4. Oversee data imports, cleanup, and ongoing database maintenance
5. Generate CRM reports and dashboards to support fundraising strategy, grant reporting, audits, and leadership decision-making
6. Develop and maintain standardized CRM processes, documentation, and data entry protocols
Impact Reporting & Stewardship (15%)
1. Track grant- and donor-funded outcomes to support reporting, evaluations, and compliance requirements
2. Assist in compiling data and narratives for funder reports, impact reports, audits, and internal reviews
3. Support donor and funder stewardship efforts through accurate reporting and timely follow-up
Campaign & Event Support (10%)
1. Manage ticket sales and registrations through event software and ensure accurate data imports into the CRM database
2. Support event logistics and oversee silent auction processes, including registration, item tracking, reporting, and post-event reconciliation
3. Ensure event and sponsorship data is properly entered, coded, and reported within the CRM
Requirements
GENERAL MINIMUM QUALIFICATIONS:
3-5 years in grant writing, reporting and management
1-3 years in CRM database management
Bachelor’s degree is a plus
Exceptional attention to detail, organization, and deadline management
Exemplary written communication skills, particularly for grants, reports, and donor correspondence
Proficiency in Microsoft Office 365
Strong experience with grant management software
Demonstrated ability to handle multiple priorities and lead team efforts.
Ability to create and maintain highest levels of confidentiality when dealing with proprietary information and sensitive situations.
Salary starting at $55,000.00
