- Events Coordinator
Description
The Events Coordinator is responsible for the end-to-end planning and execution of diverse college and community events. This position bridges internal departments (such as facilities and catering) with external stakeholders and community partners, creating first-rate, welcoming and memorable events for the intended audiences.
This description is intended to indicate the types of duties and responsibilities requested of the employee assigned this title. It is not intended to be an exhaustive list of all the duties and responsibilities that may be required:
- Oversee site setups, vendor deliveries, audio-visual requirements, and breakdown for events like student graduations, college activities, and community workshops.
- Manage the master event calendar to avoid scheduling conflicts and act as the primary point of contact for external clients renting campus venues. Coordinate external rental needs with vendors including, but not limited to A/V, staging, props, catering, etc.
- Plan, develop, monitor, and maintain event-specific budgets, ensuring adherence to institutional financial policies and managing vendor invoices.
- Coordinate with college security, facilities, purchasing and catering teams to ensure all institutional safety, licenses, liability, and quality standards are met. Collaborate with Marketing and Communications staff to promote event.
- Ensure all college events follow federal and institutional accessibility guidelines, including coordinating accommodations for attendees with disabilities.
- Work to create an exceptional, positive and memorable experience for guests at each event.
- Conduct surveys and post-event reviews to measure success against key performance metrics and recommend improvements for future planning.
- Performs other related duties, as assigned.
- Ability to work additional hours as needed, including outside of typical business hours and on weekends.
- Ability to lift and carry materials (typically up to 25 lbs) for event setup, with occasional exposure to outdoor weather conditions.
- Knowledge of event management software and related technologies
- Knowledge of accounting principles and budgeting
- Ability to manage multiple priorities, including special projects
- Knowledge of the principles, practices, and techniques of advertising, promotion, and community relations programs and activities
- Skill in the use of office equipment and technology, including computers and related software; ability to master new technologies
- Capable of working in a fast-paced environment, organizing schedules, managing multiple tasks concurrently, and performing effectively under stress associated with meeting strict deadlines
- Ability to communicate effectively and present ideas verbally and in writing
- Possess positive attitude with ability to establish effective working relationships and use good judgment, initiative, and resourcefulness when dealing with staff, students, faculty, the public, and other professional contacts
- Ability to assess critical situations, maintain attention to detail and problem-solve; maintain high level of organization and work efficiently under stress and changing work priorities
EDUCATION: Bachelor's degree in Event Management, Communications, Business Administration, or related field required.
EXPERIENCE: Two (2) years of experience in professional event planning.
