Description
Position Purpose:
The Customer Service Representative is the first level of contact between the customer and the company.
The CSR is responsible for handling general inquires, processing orders, and resolving order based issues. The ability to tackle certain tasks or redirect to the appropriate department is also critical. Main duties are: order entry, PO creation, and overall compliance of customer stored information and company documentation.
Measures of Success:
- PROFESSIONAL: maintains professional communications (email, phone, in-person) with customers, vendors, and internal colleagues at all times.
- ACCURACY: maintains accuracy of records and interface with ERP (SAP) system, vendors and customers.
- TIMELY: demonstrates the ability to complete items in a timely fashion without compromising professionalism and accuracy.
- MULTI-TASKING: shows ability to handle each of the responsibilities of this position without compromise.
- TEAM: thrives in a small team environment where Customer Service is an integral part of why the customers buy from the company.
Required Qualifications:
- CUSTOMER SERVICE: 2+ years working in a business-to-business Customer Service in a fast-paced technical environment.
- ERP SYSTEM: Multi-year experience using SAP, PeopleSoft, or Oracle in a Customer Service and/or Logistics capacity. Preference for SAP.
- FILE ORGANIZATION: Familiarity with electronic workflows. Working familiarity with Microsoft Teams, SharePoint and Excel (non-macros; non-Pivot Tables).
- COMMUNICATIONS: experience working in an environment that required email and verbal communications in a concise, professional tone with an emphasis on accuracy and timeliness.
- COMPLEX: experience working in a position where it was required to perform multiple tasks as example, order taking + purchasing; order taking + coordination with factory; order taking + inventory tracking.
Responsibilities:
- CUSTOMER ORDER HANDLING: Process new customer orders using SAP. Analyze and respond to customer inquiries or redirect as necessary.
- ORDER MANGEMENT: Review open orders daily, take appropriate actions to achieve on-time order fulfillment, resolve and log any issues that arise throughout the order process.
- PURCHASING: Create purchase orders (both direct ship to customers and stock) with correct purchasing price and correct buying terms.
- COMMUNICATIONS: Maintain timely, professional communications with Vendors and Customers.
- COORDINATE: Direct customer technical questions to the appropriate department
- RECORDS MAINTENANCE: Maintain up to date customer master data and sales information in SAP and SharePoint.
- CONTINUOUS IMPROVEMENT: Continuously seek ways to improve the performance of our operations to ensure that customers' (both internal and external) needs are met.
- OTHER -- Perform other clerical and administrative duties as assigned by supervisor.
