We’re looking for a friendly, detail-oriented HVAC Customer Service Representative to support our customers from initial inquiry to final delivery. In this role, you’ll provide top-tier service by phone, email, and online chat while managing orders, preparing quotes, and coordinating with vendors and internal teams. You’ll troubleshoot online account issues, monitor inventory, and resolve any challenges related to billing, shipping, or product availability. This position also offers variety, providing backup support in the warehouse, counter, and showroom when needed. If you enjoy helping customers, staying organized, and being part of a collaborative team, this role is a great fit.
Essential Duties & Responsibilities
• Provide friendly customer service by phone, email, and online chat
• Enter and track orders; create quotes and job files
• Assist customers with online orders and account issues
• Work with vendors, sales reps, and internal teams to complete orders
• Order products/equipment and resolve billing, shipping, or service issues
• Maintain basic inventory and reporting
• Assist in the warehouse, counter, or showroom when needed
• Stay informed on products and share knowledge with others
• Follow all safety practices and maintain reliable attendance
Knowledge, Skills & Abilities
• Basic understanding of HVAC products (or willingness to learn)
• Ability to handle multiple tasks and adapt quickly
• Strong communication and customer service skills
• Proficient with Microsoft Office; experience with Eclipse is a plus
• Professional, positive attitude when working with customers and team members
• Ability to follow written instructions, safety guidelines, and manuals
• Comfortable with basic math and measurements
• Able to use standard office equipment
Education & Experience
• High school diploma or equivalent
• Previous customer service or HVAC experience preferred, but not required
Licenses
• Valid driver’s license is required for business-related driving
Physical Demands & Work Environment
This position is primarily office-based with occasional visits to branch locations. Most of the work involves sitting at a desk, using a computer, and interacting with team members. Some light walking, standing, and occasional lifting (up to 25–50 lbs.) may be required. Regional travel may occur as needed. We maintain a safe, professional, and collaborative work environment.
