This is a hybrid position based out of either Tulsa or Oklahoma City.
Job purpose
The Community Initiatives Coordinator performs a broad range of administrative, operational, and coordination support to the community initiatives division. This is a shared support position designed to ensure priority needs across multiple projects, initiatives, and staff are met efficiently and consistently. The Community Initiatives Coordinator has a critical role in supporting division staff and strengthening overall team functioning. The position reports to the Community Initiatives Director.
Responsibilities

- Provide project support and coordination assistance for special projects.
- Coordinate scheduling, calendar management, and communication between community initiatives division staff and other parties.
- Coordinate meeting logistics, including ensuring meeting materials are completed and delivered, tech and furniture set up, food orders and delivery coordination, welcome guests, complete sign-in sheets, and other on-site or virtual meeting support.
- Develop meeting summaries and action notes for internal and external use.
- Enter, track, and maintain requested information into project management software or other requested record management.
- Book and manage staff travel needs, including transportation and lodging.
- Coordinate with staff on needed office supplies, materials, equipment and other items needed by the community initiatives division.
- Develop a working understanding of Healthy Minds' priorities and community initiatives and goals.
- Participate in team planning and problem-solving, and continuous improvement efforts.
- Provide flexible support for emerging needs, urgent requests, and special projects as assigned.
Compensation and benefits
- Compensation range: $52,000.00 to $62,400.00 annually, commensurate with experience.

Requirements
Required qualifications
- High school diploma or equivalent.
- At least 4 years of experience in an administrative or coordination role with similar job duties
- Proficiency in Microsoft Office Suite.

Work environment and physical requirements
- This is a hybrid position, with 2.5 days each week required at the Tulsa or Oklahoma City office.
- Reliable internet access is required for at-home workdays.
- Occasional travel between Tulsa and Oklahoma City offices is required. Statewide travel may be assigned for meetings or events outside of the two metro areas.
- Regular work hours are 9:00 AM to 5:00 PM, Monday through Friday.
- Candidates must be able to work in an office environment and sit for extended periods of time.
